How to add team members and manage user permissions in Fixture & Finish

Keep your team aligned without losing control of your project data

When you are managing custom home builds, you need your team and designers on the exact same page without giving everyone keys to the entire castle. Instead of sharing a single login or emailing spreadsheets back and forth, Fixture & Finish lets you invite team members and assign specific roles. This keeps your project data secure while ensuring the right people can update selections and specifications.

At Foxhall Homes, we use this exact setup to bring in external design partners on our custom builds in Bethesda. It allows them to input plumbing and lighting specs directly into the project, while keeping our company billing and master settings restricted to the business owners.

How it works

Hover over your name and initials in the bottom left corner of the screen.

Click Admin Settings from the menu that appears.

Find the "Users" card and click the Add button.

Enter the new user's name and email address.

Select a role based on their desired permission levels.

Click save to send the invitation. The user will receive an invitation email to join your company's account.

If the person you invited already has a Fixture & Finish account (for example, an independent designer who works with multiple builders), they will be able to swap between accounts using the profile menu in the bottom left. If they are new to the platform, the email will prompt them to set a password and log in for the first time.

Frequently Asked Questions

Can I invite external interior designers or trade partners?

Yes. You can invite external collaborators as team members so they can input selections directly. This saves you from manual data entry and prevents transcription errors when moving specs from their design documents into your system.

What happens if a user already has a Fixture & Finish account?

They do not need to create a new email login. Once they accept your invitation, they can quickly toggle between your company account and their other projects from the profile menu in the bottom-left corner of their dashboard.

Do my subcontractors and clients need to log in to see selections?

No. We build Fixture & Finish with a print-first, decentralized philosophy. While you can invite team members to collaborate inside the app, you do not need to force your clients or subcontractors to create accounts. You can export clean, professional specification PDFs or share live, view-only links for the field.
