How to export your selections and procurement data to Excel or CSV
The Problem: When you need your data outside of the app
While spreadsheets are a chaotic way to manage active selections, they are still incredibly useful for running custom calculations, sharing raw data with your accountant, or sending a quick list to a subcontractor. Fixture & Finish keeps your day-to-day workflow organized while letting you pull your data out instantly whenever you need it.
You can export your data as a clean CSV file that opens in Excel, Google Sheets, or Apple Numbers. Depending on what you need, you can export a single project's approved selections or a cross-project procurement sheet.
How it works
Option A: Export approved selections for a single project
Use this option when you want a clean, simple spreadsheet of every approved selection for a specific build. This is perfect for handing off a final spec sheet to a lead carpenter or subcontractor.
- Open the project from your All Projects dashboard.
- Go to the project's Specifications page in the left-hand menu.
- Click on the Selections folder.
- Click the Download button under the All Selections (CSV) section.
The file will download immediately to your computer. It is automatically named after the project address (for example, 123_main_street_approved_selections_20260616.csv) and includes the following columns:
- Item Parent Category
- Item Category
- Item Name
- Location(s)
- Selection Name
- Model Number
- Reference Link
- Notes
Option B: Export procurement and order tracking across all projects
Use this option when you need to see pricing, order quantities, vendors, and delivery statuses. This export can span multiple active projects at once, making it ideal for managing your back-office purchasing.
- Click Procurement in the top navigation bar.
- (Optional) Use the filters at the top of the screen to narrow the data by Project, Vendor, or Category.
- Click the Export CSV button.
The downloaded file (named by date, such as procurement_2026-06-16.csv) respects whatever filters you applied on the screen. This export is order-aware, meaning it includes detailed rows for items ordered from multiple vendors, along with columns for:
- Project, Location, Category, Item, and Selection
- Vendor, Status, and Expected delivery date
- Quantity needed, Quantity ordered, and Quantity delivered
- Unit price, Unit type, and Extended cost
How we use this at Foxhall Homes
At Foxhall Homes, Alex Villa uses these exports to keep field operations running smoothly on their luxury builds in Bethesda, MD. Before the plumbing rough-in begins on a $5M custom home, Alex exports the approved selections CSV for that specific project. He sends the clean spreadsheet directly to the plumbing subcontractor. This ensures the sub has the exact model numbers and reference links for the rough-in valves, preventing costly mistakes before the drywall goes up.
Frequently Asked Questions
What software can open these exported files?
Because the files export as standard CSVs (Comma Separated Values), you can open them in Microsoft Excel, Google Sheets, Apple Numbers, or any other spreadsheet software.
Why is an item missing from my single-project export?
The single-project export only includes selections that have been marked as Approved. If you are missing an item, double-check that you or your client has officially approved the selection in the app. This prevents unapproved or pending choices from accidentally being sent to the field.
Can I export a PDF instead of a spreadsheet?
Yes. On the project's Specifications page, right next to the CSV download option, you will find a link for All Selections (PDF). This generates a clean, formatted document that is ready to print or email directly to a client.
