How to share room lookbooks with clients and prospects

Sharing design selections with clients or prospects usually means sending messy PDF attachments, disorganized spreadsheets, or endless email threads. These files quickly become outdated, do not look professional, and fail to showcase your design vision. You need a clean, polished way to present a room's selections without forcing anyone to register for a software account.

How to Share a Lookbook

Follow these steps to generate a shareable link for your room lookbook:

  1. Navigate to the room: From your project dashboard, open the room you want to share (for example, the Primary Bath).
  2. Open Share Settings: From the lookbook tab at the top, click Share Settings (or open the room's settings and go to Lookbook Sharing).
  3. Enable sharing: Turn on the Enable Sharing toggle.
  4. Set an Access PIN (Optional): Enter a four-digit PIN that the viewer must enter to open the lookbook. Leave this blank if you want them to access the link directly without a gate (ideal for social media or marketing).
  5. Add context notes (Optional):
    • Public Shareable Note: This is shown on the PIN screen before they open the lookbook. Use this to write a quick greeting or instructions.
    • Private Shareable Note: This is shown at the top of the lookbook itself, serving as your official introduction to the design selections.
  6. Choose what to display: Toggle Show items still being decided on if you want pending alternatives to appear alongside approved selections. Leave it off if you only want to show finalized choices.
  7. Save and copy the link: Click Save. Back on the lookbook view, the Share Lookbook card will now display your unique link. Click Copy link (and click Copy next to the access code if you set a PIN) and send it to your client, or paste it into your marketing materials.

How to Revoke Access or Reset the Link

If you need to deactivate an old link—either because the project phase has ended or you want to restrict access—open the share settings and click Reset Link. The previous URL will stop working immediately, and a new one will be generated for future use.

What Your Client or Prospect Sees

When someone clicks your shared link, they experience a clean, focused portal designed to showcase your work:

  • If you set a PIN, they will see your Public Note, enter the four-digit code, and click Open lookbook. If no PIN is set, the lookbook opens straight away.
  • The lookbook displays your Private Note at the top, followed by a clean table of contents and each selection card.
  • Viewers can scroll through high-resolution photos, product details, and manufacturer specifications in a clean, distraction-free layout.

Frequently Asked Questions

Do my clients need to create a Fixture & Finish account to view the lookbook?

No. Your clients and prospects do not need to sign up, create a password, or log into any software. They simply click the link you send them, enter the PIN (if you set one), and view the lookbook. This makes it incredibly easy to share your work with anyone.

Can I use lookbooks for marketing and social media?

Yes. Because you can share lookbooks without an Access PIN, they make excellent marketing tools. You can post the link on your Instagram profile, include it in email newsletters, or send it to prospective clients to show them the level of detail and design quality you bring to your custom builds.

What happens if I update a selection after sharing the link?

The lookbook updates in real-time. If you swap out a light fixture or update a specification note in your builder dashboard, the viewer will see the updated information the next time they open or refresh their link. You never have to worry about sending outdated PDFs again.
